Substitute & Guest Teacher Information

 

Please bring the following to your Human Resources appointment:

APPLICATION PROCESS:

  1. Please complete the online application (click the link).  For new applicants, you will need to register a new account.  This online application provides you with an opportunity to attach your resume, letters of recommendation, etc.  Please submit your online application when it is complete.

  2. Please complete the Child Abuse and Neglect Training online training by selecting the link.  Print your certificate to bring to your appointment or you can attach it to your application.

  3. Review the information contained in the Guest Teacher/Substitute Handbook.  The monthly payroll calendar is also included in the handbook.

  4. Human Resources will call you to schedule an appointment after receiving your application and verification of two of your references.

  5. Please bring or verify the following information at this appointment: Child Abuse and Neglect training form, your driver's license, Social Security card, and Permanent Residence card (if applicable).

  6. Also, bring a $10.00 money order made payable to the Virginia Department of Social Services for the Child Protective Services report.  Additional costs may apply if you have not been a resident of the state of Virginia for the past five years.

  7. During your appointment, you will complete both the I-9 and W-4 tax forms (federal and state) as well as a direct deposit form.

  8. Provide a copy of a recent Tuberculosis (TB) test from a Doctor's office or from your Health Center.  This form will be provided to you at your appointment.

  9. Human Resources/designee will review your application, credentials, submitted references, etc. and will verify that you either have a high school diploma, 2-year college degree/equivalent (44 credit hours), or a 4-year college degree/equivalent (96 credit hours).  They will also verify whether you have or are eligible for a current State of Virginia teaching license which is required for long term substitute teaching assignments of more than 10 consecutive days.  Please attach transcripts to your application or bring a copy to your appointment.  In certain circumstances a personal interview may be required.

  10. ALL new substitute teachers are REQUIRED to attend one training event that will be offered either online or at the HCPS Central Office building, located at One Court Square in Harrisonburg across the street from the WHSV-TV3 television station.  Parking is available on the top deck of either the Elizabeth Street or Water Street parking garages which are a convenient walk to One Court Square.  Please email Mr. Lynn Sprouse at lsprouse@harrisonburg.k12.va.us in the HR office to schedule/verify your training date/time.  Training opportunities will be established based on your official School Board approval. 

  11. You will receive an email the day after the School Board has approved your appointment as a substitute.  At this time, you will be added to the HCPS substitute list and may start receiving calls or signing up for substitute positions after you have registered with SmartFind Express - please remember to register and complete the Substitute Training Video (instructions provided below).

Instructions - Automated System for Securing Substitutes:

  • SmartFind Express is the automated substitute calling system used by HCPS.

  • The registration number for HCPS School Board approved Substitutes is:  1-540-908-4384

  • Additional instructions to access SmartFind Express:

    • Your access ID is your employee ID (your employee ID is located on your check stub)

    • You will need to create your 6 digit PIN number once you register (please use a number that is easy to remember) You will use this PIN when receiving telephone substitute job offers.

    • You can also access SmartFind Express and substitute jobs online through the link under Staff Quick Links on the HCPS webpage. You will again enter your access ID, but will need to create a separate password to access SmartFind Express in this way. Online you can set individual preferences related to your account.

    • More information will be shared about the SmartFind Express app during your training.

  • Please contact Human Resources for more information on how to qualify as a retired teacher.

  • Long term teacher substitute rate with teaching licensure after 10 consecutive days is $130/day.
