EMPLOYMENT PROCESS:

  1. Please complete and submit the on-line application (click the link).  For new applicants, you will need to register a new account.  This on-line application provides you with an opportunity to attach your resume, letters of recommendation, transcripts, etc. 

  2. Review the information contained in the Guest Teacher/Substitute Handbook.  The monthly pay calendar is included in the handbook.  

  3. Human Resources will email you to schedule an in-person appointment after receiving your application and verification of at least one reference. HR staff will ask about your availability and level/school preferences.  You will also receive an email to register for required training.

Please bring the following to your Human Resources appointment:

  • Prior to your appointment, you will complete both the I-9 and W-4 tax forms (federal and state) as well as a direct deposit form.

  • Documentation to verify your identify and authorization to work for HCPS (see page #3 of the USCIS Form I-9 for a list of acceptable documents.) Often new staff provide their Driver’s License, Social Security Card, and/or Permanent Residence card.

  • $10.00 money order made payable to VA Dept. of Social Services for Child Protective Services background report. (fee currently being waived for college students)

  • Please complete the on-line education module, Child Abuse and Neglect Training, and provide a copy of the certificate or attach it to your application.

  • Provide a copy of a recent Tuberculosis (TB) test from a Doctor's office or from your Health Center.  This form will be provided to you at your appointment if you don’t have one.

Human Resources/designee will review your application, credentials, submitted references, etc. and will verify that you either have a high school diploma, 2-year college degree/equivalent (44 credit hours), or a 4-year college degree/equivalent (96 credit hours). This information is used to place you at the appropriate place on the current pay scale.They will also verify whether you have or are eligible for a current state of Virginia teaching license which is required for long term guest teacher assignments of more than 10 consecutive days. In certain circumstances a personal interview may be required. 

You will be notified when your name is ready to go to the School Board for approval. You will be added to our guest teacher/substitute list and our online substitute system- Smart Find Express. Your initial preferences in SFE can be changed at any time.

Additional instructions to access and use Smart Find Express:

  • Your access ID is your employee ID. Your employee ID is located on your paycheck stub.

  • You will need to change your 6-digit PIN number once you register your account. (Please use a number that is easy to remember.) You will use this PIN when receiving telephone and text message guest teacher/substitute job offers.

  • You can also download the Smart Find Express app to access and accept guest teacher/substitute jobs online. You will again enter your access ID, but you will need to create a separate password to access SFE in this way. (Instructions will be provided explaining how to access the app.)

  • You may choose to receive and accept guest teacher/substitute job offers either via a telephone call or a text message. (Instructions again will be provided explaining how to use the Text Message Job Offer feature.)
